Club membership
The sections above describe the personal data we collect through this website. This section describes the separate records we keep for people who join the club, using our membership application form.
What we collect
From the membership application form we collect the member’s name, date of birth, address, email address and telephone number, the class they train in, and their grade and British Judo Association licence number where they have one. For members under 18 we also collect the name, relationship, email address and telephone number of a parent or guardian. We collect an emergency contact, and medical information including conditions, allergies and medication.
Why we collect it, and our lawful basis
We use these details to run the club: to register members, to contact you about training and gradings, and to keep members safe on the mat. Our lawful bases are the membership agreement between you and the club, and our legitimate interest in running the club safely.
Medical information
Medical information is special category data, so we rely on your explicit consent to hold and use it. The membership form asks for that consent and your signature records it. Coaches and first aiders use these details to look after you or your child. You can withdraw your consent at any time by emailing us, although we may not be able to let you train without it.
Children
The section about children above applies to this website. The club itself teaches children from the age of four. Where a member is under 18, the membership form is completed and signed by a parent or guardian, who gives consent on the member’s behalf.
Who we share membership data with
Coaches and committee members who need it in order to run the club and keep members safe. We share the member’s name, date of birth and grade with the British Judo Association in order to register licences and record gradings. We do not sell your details and we do not use them for marketing.
How long we keep membership records
We keep membership records while you are a member and for two years after your membership ends, after which we destroy them.
Data protection law in Guernsey
Guernsey Judo is based in Guernsey, so we process personal data under the Data Protection (Bailiwick of Guernsey) Law, 2017. The supervisory authority for the Bailiwick is the Office of the Data Protection Authority. You have rights over your personal data under that Law, including the right to be told what we hold, to see a copy of it, to have it corrected, and to ask us to delete it.
